We want your event to be a success. This FAQ section provides answers to common questions about hosting events at Blue Ridge Community College, including facility use policies, contracts, payments, insurance requirements, parking, technology support, and other important details. Alcoholic Beverages
The College may require security depending on the event and the expected number of attendees. For any event where alcohol is served, two uniformed law enforcement officers must be present on the premises of the event. The applicant shall pay the full cost of providing such officers and any applicable administrative fees. A Certificate of Insurance/Liability is required for all events that serve alcohol.
Use of Alcohol at Special Events:
Alcoholic Beverages on Premises: The use, sale, or consumption of alcoholic beverages on BRCC’s campuses is prohibited. Exceptions for sanctioned events are identified in the BRCC Policies and Procedures, Section 2.14.4 Use of Alcohol at Special Events.
- An ABC Permit is required.
- Service of alcoholic beverages must be discontinued 30 minutes prior to the anticipated end of the event.
- All alcoholic beverages must be removed and secured 15 minutes prior to the anticipated end of the event.
- Alcoholic beverages must be served/consumed only in the area designated for the event. It is not permissible for individuals to take alcoholic beverages from that area.
- Bartenders and/or Catering Services must be licensed to serve alcohol.
- Food and non-alcoholic beverages must be made available at all events where alcohol is distributed.
- Servers of alcoholic beverages must be at least eighteen (18) years of age.
- No one under the age of twenty-one (21) will be allowed to consume alcohol.
- Blue Ridge Community College Police must receive the ABC Permit no less than fourteen (14) days prior to the event.
- Blue Ridge Community College Police will provide security coverage, and the sponsoring organization will be responsible for additional costs associated with that coverage.
- Alcoholic events require two (2) Blue Ridge Community College Police Officers at a minimum. The Chief of Police has discretion whether additional Officers are required for certain events.
- If requested, guests must provide photo identification for proof of age before being served.
- At an event, if anyone is found to have provided an alcoholic beverage to an underage person, Blue Ridge Community College Police will respond.
- Violation of these policies may lead to the termination of the event by Blue Ridge Community College staff and/or Blue Ridge Community College Police.
Fees: An administrative fee is charged under the event contract ($10/hour per officer, 4 hours minimum). Event Security staffing has additional charges and is paid directly to officers.
Animals
Animals are permitted on college grounds only under certain conditions. Refer to Procedure 2.14.7 Animals on Campus.
Blue Ridge CC Sponsored Events
The College may waive any or all fees where the College is a designated sponsor of the event. In all other cases, technical support, telecommunications, or security fees may not be waived if such services are deemed necessary by the College. If the College is a designated sponsor, a college employee will be the point of contact for the event and must attend the entire event.
Cancellation
BRCC reserves the right to terminate facility reservation for an event if it becomes apparent during an event that BRCC equipment or furnishings are being damaged as a direct result of said event. BRCC also reserves the right to terminate the facility reservation if it is determined that the event endangers the health and safety of individuals or interferes with BRCC’s processes. 50% of the total rental fee will be retained if cancellation is made within 30 days of the reservation. BRCC may terminate this Agreement without cause by giving written notice to User no less than 90 days before such termination is to take effect. BRCC will return the deposit, minus any expenses incurred by BRCC, up until the time of termination.
Children on Campus
Children must be accompanied by an adult. No child under the age of 10 should cross roads without the assistance of an adult. Safety is of utmost concern to the College, and visitors to the College should follow common-sense rules. Failure to act in a safe manner will cause revocation of privileges to the group(s) involved.
Cleaning Fees
Damage fees and extended cleaning fees will apply if the space requires repairs, maintenance, or extra cleaning after use. All trash should be removed from the premises or placed in receptacles before leaving the College. Any clean up or maintenance beyond what is regularly scheduled by the College must be provided by the organization using the facility, unless prior arrangements have been made with the custodial staff. The College reserves the right to assess a reasonable clean up fee if the premises are left dirty.
Contract Deadlines (floor plans, signatures, and payment)
Event setup requests are due 3 weeks before the event date. All floor plans and decorations must abide by the Fire Code.
Changes to the approved setup requests can be made up to 8 days prior to the event. Otherwise, a $15 fee per change will be implemented. If changes to the floor plan are requested after arrival on site, the user is responsible for moving tables and chairs and ensuring compliance with the Fire Code. The user must return all items to their proper place before leaving the facility. If additional tables and chairs are requested after arrival, an additional fee may apply.
Exact hours of technology support should be requested 3 weeks in advance of your event. If we receive a request less than 8 days before your event, support services may not be available, and/or additional fees may apply.

Payment
Payment in full is due upon execution of this contract. If payment is not received within 30 days, the event may be canceled and the reservation released. Future events might be restricted for non-payment on reservations.
Refund: 100% of the payment is refundable if the event is canceled at least 60 days in advance of the event. 50% of the payment is refundable if the event is canceled between 30 to 60 days of the event. If the event is canceled within 30 days of the event, the full payment is forfeited. If the Reserved Premises cannot be used as a result of an Act of God (e.g., fire, earthquake, flood, etc.), BRCC shall refund any advance payment. If users reschedule the event prior to June 30th of the fiscal year, all payments will be transferred to the new event date.

Rental Responsibilities
All visiting groups are responsible for overseeing the activities and conduct of their members while utilizing College facilities and must comply with all applicable College rules and regulations, including safety procedures. The College may require security for any event, and such costs shall be assessed to the visiting group. Failure to comply with the guidelines outlined in this procedure, including failure to pay a facility use fee, will cause immediate denial of access and utilization of college facilities.
Restrictions

Smoking
Smoking or using tobacco products is strictly prohibited anywhere on the BRCC campuses.
Technology/Media Support
Technology is offered as plug-and-play. Bring a USB for event presentations. Exact hours of technology support should be requested 3 weeks in advance of your event. If we receive a request after 8 days prior to your event, support services may not be available, and/or additional fees may be applied. We suggest contacting our Technology Support Team at (828) 674-3206 at least 3 weeks before your event for specific needs. If technology support is not reserved when an event contract is issued but is needed on the event date, the technology fee will be invoiced, and the user acknowledges that services may not be available. Technology Services may issue a separate quote for special technological needs. An event agenda is required for certain events.
Technology Fees:
- Technical Support: $60/hr. per tech; 2 hour minimum
- Technical Support Quick Setup: $30/30 minutes
- Audio/Video Recording Services: additional fees apply
- Live Video Streaming: additional fees apply
Trash
All trash should be placed in receptacles before leaving the College. Any clean-up or maintenance beyond what is regularly scheduled by the College must be provided by the organization using the facility unless prior arrangements are made with the custodial staff. The College reserves the right to assess a reasonable clean-up fee if the premises are left dirty.
